Terms of Service

The terms and conditions that govern your use of ReplyMill.

These Terms of Service ("Terms") govern your use of the ReplyMill platform operated by ReplyMill ("we", "us", "our"). By creating an account or using the service, you agree to these Terms.

1. The Service

ReplyMill is an AI-assisted email support platform that routes support emails from your inbox into Slack, groups similar issues, and helps your team draft and send replies. We provide the service on an "as is" and "as available" basis.

2. Accounts

To use ReplyMill, you must create an account. You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account.

You must provide accurate information when creating your account. You must be at least 16 years old to use the service. If you are using ReplyMill on behalf of an organization, you represent that you have authority to bind that organization to these Terms.

3. Acceptable Use

You agree not to:

  • Use the service for any unlawful purpose
  • Send spam, unsolicited messages, or bulk emails through ReplyMill
  • Attempt to gain unauthorized access to the service or other accounts
  • Interfere with or disrupt the service or its infrastructure
  • Reverse engineer, decompile, or disassemble any part of the service
  • Use the service to store or transmit malicious code
  • Resell or redistribute the service without our written consent

4. Your Data

You retain ownership of all data you submit to ReplyMill, including emails, replies, and team information. By using the service, you grant us a limited license to process, store, and transmit your data solely for the purpose of providing the service.

We do not use your data to train AI models. See our Privacy Policy for full details on how we handle your data.

5. AI-Generated Content

ReplyMill uses AI to generate draft replies for your team to review. These drafts are suggestions only. You and your team are responsible for reviewing, editing, and approving all replies before they are sent to customers.

We do not guarantee the accuracy, completeness, or appropriateness of AI-generated content. You acknowledge that AI outputs may occasionally contain errors and should always be reviewed by a human before sending.

6. Plans and Billing

ReplyMill offers free and paid plans. Paid plans are billed monthly or annually as selected at signup. Prices are listed on our Pricing page and are subject to change with 30 days' notice.

  • Paid plans renew automatically at the end of each billing period unless cancelled.
  • You can upgrade, downgrade, or cancel your plan at any time from your dashboard settings.
  • If you exceed your plan's email limit, overage charges may apply as described on the Pricing page.
  • Refunds are handled on a case-by-case basis. Contact us if you have a billing issue.

7. Cancellation and Termination

You may cancel your account at any time from your dashboard settings. Upon cancellation, we immediately delete your workspace data — including threads, messages, attachments, team configuration, your Mailbox row, and the inbound forwarding address that mapped to your account. You should also remove the forwarding rule from your support inbox so no further mail is sent to us. The only exception is data we are required to retain by law. We may suspend or terminate your account if you violate these Terms, if your use poses a security risk, or if required by law. We will make reasonable efforts to notify you before doing so.

8. Intellectual Property

The ReplyMill service, including its design, code, branding, and documentation, is owned by ReplyMill and protected by intellectual property laws. These Terms do not grant you any rights to our trademarks or branding.

9. Third-Party Services

ReplyMill integrates with third-party services including Resend (for inbound and outbound email), Slack, OpenAI, Stripe, Google Sign-In, PostHog, and Railway. Your use of these integrations is subject to the respective third party's terms and privacy policies. We are not responsible for the availability or actions of third-party services. 10. Limitation of Liability

To the fullest extent permitted by law, ReplyMill shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of revenue, data, or business opportunities, arising from your use of the service.

Our total liability for any claim arising from these Terms or the service shall not exceed the amount you paid us in the 12 months preceding the claim, or $100, whichever is greater.

11. Disclaimer of Warranties

The service is provided "as is" without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be uninterrupted, error-free, or secure.

12. Indemnification

You agree to indemnify and hold harmless ReplyMill and its officers, directors, and employees from any claims, damages, or expenses arising from your use of the service, your violation of these Terms, or your violation of any rights of a third party.

13. Changes to These Terms

We may update these Terms from time to time. We will notify you of material changes by posting the updated Terms on this page and updating the effective date. Your continued use of the service after changes are posted constitutes acceptance of the updated Terms.

14. Governing Law

These Terms are governed by the laws of the jurisdiction in which ReplyMill operates, without regard to conflict of law principles.
