How ReplyMill uses AI to help your team respond faster.

How It Works

Every time a new support email arrives, ReplyMill's AI reads the full conversation thread and generates a draft reply. The draft appears in the Slack thread alongside the original email, ready for your team to review.

The AI considers:

  • Full conversation history — not just the latest email, but the entire thread for context
  • Issue type — bug reports get different treatment than feature requests or billing questions
  • Tone — the AI matches a professional, friendly tone appropriate for customer communication

Reviewing and Editing

AI drafts are suggestions only. Your team always has the final say. The typical workflow is:

  1. AI generates a draft reply in the Slack thread
  2. A team member reviews the draft
  3. They edit it if needed (add specifics, adjust tone, etc.)
  4. They send the final reply with one click

You can also ignore the AI draft entirely and write your own reply from scratch.

What the AI Is Good At

  • Acknowledging the customer's issue clearly
  • Structuring a response with the right level of detail
  • Turning brief internal notes into polished, customer-ready text
  • Responding in the same language as the incoming email
  • Maintaining a consistent, professional tone

What to Watch For

  • Specifics — the AI may not know internal details like release timelines or account-specific info. Always add these manually.
  • Promises — review any commitments the AI makes (e.g. "we'll fix this by Friday") to make sure they're accurate.
  • Sensitive situations — for billing disputes, escalations, or unhappy customers, take extra care to review the tone and content.

Privacy

Email content is sent to our AI provider for draft generation. However:

  • We never train AI models on your data. Your emails are not used for training, fine-tuning, or improving any models.
  • We use AI providers that commit to not retaining input data beyond the processing window.
