Understand the end-to-end flow from incoming email to customer reply.

The Flow

ReplyMill connects your Gmail inbox to Slack, so your team can handle support without switching tools. Here's how it works step by step:

1. Customer sends an email

A customer sends an email to your support address (e.g. support@yourcompany.com). Gmail forwards it to your ReplyMill address automatically.

2. ReplyMill processes the email

ReplyMill receives the forwarded email and does three things:

  • Threads it — if this is a reply to an existing conversation, it's added to the same thread. New conversations start a new thread.
  • Groups it — the email is analyzed and grouped with similar issues (e.g. all "login bug" reports are clustered together).
  • Drafts a reply — the AI reads the full conversation context and generates a suggested reply.

3. Thread appears in Slack

The email appears as a new message in your configured Slack channel. The AI-drafted reply is included in the thread. Your team gets notified based on issue type — engineers see bugs, product sees feature requests.

4. Your team replies

Anyone on your team can review the AI draft, edit it, or write their own reply directly in the Slack thread. When they're happy with the response, they send it with one click.

5. Customer receives the reply

ReplyMill sends the approved reply back to the customer via email. From the customer's perspective, it looks like a normal email reply from your support address. No "sent via ReplyMill" branding.

Key Concepts

Conversation Threads

ReplyMill automatically detects when an email is a reply to an existing conversation and groups them into threads. Follow-ups, replies, and forwards are all connected so you always have the full context.

Issue Grouping

Similar support requests are automatically grouped together. If five customers report the same login bug, ReplyMill clusters them so your team sees the pattern instead of handling each one in isolation. Learn more in the Issue Grouping docs.
